RMA
RMA stands for "Return Merchandise Authorization". Basically, the process of returning products to GCL Diesel -- whether it's a product return, warranty, or core return.
Follow along to see how easy the process is with the GCL Diesel website to quickly process all three of these return types.
Getting There
To start the RMA process, to go My Account and click on the RMA header.
Creating an RMA
To create a new RMA, click on the 'Create New RMA' button at the top or bottom of the list of previous RMAs (if you have any).
This will bring up a Create RMA pop-up.
IMPORTANT: There are two types of RMAs to select from here. Those based on sales that were before March 2, 2025, and those after March 2, 2025. This is important as ones that are from before the launch of the new GCL Diesel website require a different process than those created after. Be sure to select the correct type!

Email a Core Return Statement
Click on the Email Core Statement button in the RMA header. This will send a complete core statement to your email address on file.

Create a new Core Return
Click on the Core Return link to bring up the Core Return form. This will show you all cores you are eligible to return, along with how many days are left for you to return them. You can click on the 'i' logo for more information to see what invoices are contributing to your eligibility.
From here, simply fill in the number of cores you are going to return and click the Submit button. The system will automatically start to process the cores against your oldest eligible invoices and do all of the rest of the work for you. No need to enter in invoice numbers or customer information. You will receive a confirmation screen.
Do not send your cores in at this time! You must wait for an authorization from GCL Diesel before sending your cores.

You will receive emails at each stage of your RMA processing or you can view the status in the RMA section of your account.
Viewing your Credit Note
After submission of an RMA and successful processing, you will be able to view your credit note under the Invoices section of My Account. Your credit with either be applied to your account if you are an Net 30 customer, or the credit will be returned to your method of payment if you are cash sale / immediate payment customer.
Sale Return
A sale return follows most of the same process as above, except you will be submitting a return authorization request against a single sale order. First, select the Sale Order you are returning products for:
Then, enter in the quantity of part(s) you wish to ask to return, select a Reason for Return, add any additional comments and click Submit.
Wait for a return authorization email before continuing the process.
Warranty Return
Again, as with the Core Return and Sale Return, the process is quite similar. Select your invoice, enter the quantity of products you are requesting warranty on, and fill in the information below including the Vehicle Information, Problem Description, Warrantied Parts Information, and Labour Reimbursement request.
Wait for a return authorization email before continuing the process.
RMAs for Sale Orders BEFORE March 2, 2025
These sale orders are not tied into the new system and therefore will require some additional information before they can be processed. For any one of the three types of RMAs from before March 2, 2025, you will need to provide the Original Invoice Number, enter in the part numbers

After submitting your RMA, wait for an email to be returned for further information. You can also track the status of your RMA in the RMA section in My Account.
